Terms and Conditions for Bookings taking place at Brookes Hotel, Luton
General
1. The hotel reserves the right to approve externally arranged entertainment, services or activities that you arrange. We cannot accept any liability for any resultant cost.
2. Should any guest fail to correct any aspect of poor behaviour or activities unacceptable in the hotel, the hotel reserves the right to terminate their stay. In this event no reduction in the final account will be given. The Managers decision is final.
3. Any cost incurred by the hotel in repairing damage caused by an individual to the hotel, its contents or grounds by a guest must be borne by the client.
4. No wines, spirits or food brought into the hotel may be consumed on the premises.
5. The hotel must comply with certain licensing and statutory regulations and requires the client to fulfil their obligation in this respect.
6. For health and safety reasons you are required to obtain written approval if you wish to fix items to the walls, floors or ceilings.
7. Prices quoted are inclusive of VAT unless otherwise specified.
8. Whilst the hotel has taken all reasonable steps to ensure that the information contained in it’s brochures, tariffs, leaflets and advertisements is accurate, it reserves the right to alter, substitute or withdraw any service, facility or amenity without notice if necessary.
This agreement shall be subject to English Law.
Rooms are subject to availability.
Prices displayed on the website are a total for your requested stay.
Guests must pay any outstanding charges on departure from the hotel.
You will be asked to authorise a credit card (or debit card) at the time of the booking to secure your reservation.
Conference, Banqueting and Group Accommodation
1. All bookings are unconfirmed and not guaranteed until confirmed in writing by both the client and the hotel and any deposit, or payment made in advance of any charges requested by the hotel has been made and a receipt sent to the client. A minimum deposit of £50 will be required to secure a booking.
2. On any change in the original number booked with the hotel, between the date of the booking and the actual date of the function, the hotel reserves the right to relocate the function to suit the final numbers confirmed, and a supplement may be charged to cover the additional cost of the new venue.
3. On cancellation of the whole or part of the confirmed booking within 90 days of the event the hotel will make a cancellation charge as follows:
1. Meeting Rooms - Room hire charge in full
2. Meals – 65% of quoted charge, based on the original number of persons reserved, or in the event where no charges were quoted, the minimum charge per person for a function meal will be levied.
3. Bedroom Accommodation – 90% of quoted charge based on the original number of persons reserved, less amount recovered by re-letting that accommodation.
4. All prices are subject to change without notice up to 90 days prior to the arrival date unless previously confirmed in writing. No notice will be given in the event of any changes in Government legislation, even if the booking was confirmed in writing.
5. Accommodation requirements, menu(s) and an indication of numbers must be given no later than 10 days prior to the function. Any rooms unsold by this date are automatically released by the hotel for re-sale.
6. Amendments to numbers and/or arrangements must be confirmed to the hotel in writing.
7. Reductions to the duration of the contracted value of the booking shall be subject to the hotel’s cancellation policy.
8. The guaranteed number of guests and seating plan, if applicable, must be notified a minimum of 7 days prior to the function. This will be the minimum charged.
9. The hotel shall not be liable for failure to provide or delay in the providing of facilities, services, food or beverages, as a result of events or matters outside its control
10. A charge may be made for any additional costs of any nature incurred resulting from the late commencement or conclusion of any function.
11. All Group Accommodation and Banqueting must be paid no later than 10 days before arrival unless a previous arrangement for the account to be sent on has been agreed in writing in which case payment must be made within 7 days of presentation of the account.
Accommodation
1. Any Cancellations must be advised to the hotel by telephone at least 48 hours in advance. Full payment will be required at any point after this date.
2. All prices are subject to change without notice up to 30 days prior to the arrival date unless previously confirmed in writing. No notice will be given in the event of any changes in Government legislation, even if the booking was confirmed in writing.
3. Payment for accommodation must be made prior to departure. If a guest leaves the hotel without paying payment will be taken from the credit/debit card used to make the booking.
4. Special offers shown on this web site only apply to new bookings, they can not be applied to any existing booking.
5. The hotel reserves the right cancel the booking at any time
